All correspondence(s) for Tours / Travel Service booking should be addressed to M/s. VacationerIndiaTours

Payment: Advance payment needs to be paid for all the services reserved in order to hold the booking on confirmed basis and the remaining can be paid on your arrival at INDIA, but not end of the services.

In addition to the above, special railway accommodation and hotel or resort reservation over peak season (Christmas and New Year) should also be paid in advance in full.

Payment: Foreign advances should be remitted through wire transfer to our bank.

Cancellation Policy: If you want to cancel your reservation, you have to inform the same to VACATIONER INDIA TOURS in writing. If Tour / travel arrangements are being cancelled owing to any reason, avoidable or unavoidable, we have to be informed the same in writing. Cancellation fees will be levied from the date of receipt of written notice.

Cancellation fees as noted below will be levied as per the cancellation policy.

  • 60 Days prior to arrival:            35% of the Total Tour/services Cost
  • 45 Days prior to arrival:            50% of the Total Tour/services Cost
  • 30 Days prior to arrival:            75% of the Total Tour/services Cost
  • 15 Days or Less:                     100% of the Total Tour/services Cost

Cancellation / truncation / unused part of the trip after trip commencement (inclusive of trip start date): 100% of the overall trip cost. In case of NO SHOW, 100% of overall trip cost will be charged

Note: Writing cancellations are accepted on all weekdays excluding Sunday; Sunday cancellations will be treated as the next workday (Monday). The money is not refundable during New Year and Christmas holidays, i.e., between December 20 and January 5.In case you wish to cancel the tour after departure, your refund will be amounting to a sum specified, and it also depends on what we can get back from our hoteliers/contractors to whom we have made bookings. Unutilized hotel accommodation, transportation, or missed meals, etc., are non-refundable by us.

  • Cancellation of Flight Tickets: Flight Tickets, once reserved, cannot be cancelled. Name and date adjustment can be accepted based on the limitations of the airline. No modification or refund can be granted if flights are cancelled/delayed.
  • Cancellation of Wildlife Safaris: All wildlife safaris to any Wildlife National Park or Sanctuary are non-cancellable. Even a date change request shall be treated as a cancellation, and no refund may be made or credited against it.

Miscellaneous

  • * No refund of the equivalent hotel booking charge will be made after confirmation of the hotel booking.
  • * Any fluctuation in room rates, air fares, airport tax/petrol will attract a surcharge to be settled prior to departure date.
  • * The hotel holds the privilege of assigning an accommodation category entirely at discretion subject to availability.

Refunds:

Refund:

  • In regards to this refund of unused / unutilized service (advanced payment and prepaid in advance), the amount to be refunded would be determined via the above cancellation procedure, and said amount would be paid back to the one who paid us. Refunds on credit card payments will be paid to the same card only.
  • If you wish to cancel after the trip has already commenced, your refund would be just whatever we manage to retrieve from the hotels. Refunds for unused hotel accommodation, transportation, or missed meals, etc., shall not be processed by us.
  • According to bank rules, the refund will be within 2 to 7 weeks. If refunded by bank transfer or other payment methods, bank charges/outward remittance charges will be deducted from the total refund amount. We like to refund the same account or credit card from which we received it, excluding money transfer charges.
  • No deductions on the refundable (apart from transaction cost) made due to unavailability of services. In the event the ordered services become unavailable within the time given, we shall provide substitutes of the same nature much earlier than the commencement of the services, and in the event of the client’s refusal to accept the substitutes, the advance will be reimbursed. Once the client has paid the tour/service fee and the client has selected the alternate service, cancellation will be under the terms of the said cancellation policy.

Our Liabilities and Limitations:

  • Please note that subsequent to payment of the tour/service fee, any increase in monument/museum entrance fee, taxes, fuel surcharges, or guide fees by the Government of India would be charged as an extra fee.
  • Vacationer India Tours is only an agent and a representative of the other hotels, airlines, transporters, railways, and other service contractors, and all our orders for exchange, receipts, contracts, and tickets are subject to the conditions on which they provide these services to us.
  • All our tours are sample tours with the intent to give a rough idea of the traditional trip timeline. Several factors such as weather, road conditions, health of participants, etc., can make schedule changes a prerequisite even before the tour or during the tour.
  • Our rates are quoted according to the current rates we have agreed with hotels, airlines, and other operators. Hotels and airlines can change prices at any time. If changes like this do happen, prices we have previously mentioned prior to the change may be changed by us according to the changes made by hotels or airlines. Hotel check-in and check-out times remain applicable on all hotel bookings unless otherwise indicated on the itinerary.
  • We will not be liable for delay or rescheduling, or for any expense incurred – directly or indirectly – as a result of acts of nature, cancellation of flights, accident, equipment or mechanical failure, transport failure, inclement weather, sickness, landslide, political shutdown, or any other untoward situation.
  • We shall not be held liable for any loss, damage, or harm to person, property, or otherwise suffered in relation to any accommodation, transport, or other services arising – directly or indirectly – from any act of GOD, risks, fire, accident, mechanical or equipment breakdown, transport break-down, wars, civil disturbances, strikes, riot, robbery, pilferage, epidemics, medical or customs department regulations, defaults, or any other cause beyond our control.
  • We do not provide accident, sickness, theft, or other cost cause insurance. The guests are asked to make such insurance plans at home. The client is always held accountable for his/her own equipment and bags.

Passport and Visa

In addition to Nepalese and Bhutanese citizens, all foreign visitors travelling to India are required to possess a minimum six-month valid passport and a valid visa. Passport and visa arrangements are not covered in the tour price.
